GOODS ON DISPLAY

Invoices for shipping goods to be displayed must be issued in the exhibitor's name, with CNPJ (Brazilian Taxpayer Registry) and state registration number.

PRESENTATION OF STAND PROJECTS

The exhibitor, under penalty of liability, must strictly comply with the following standards for booth assembly and disassembly, within the specified deadlines and conditions, without prejudice to strict compliance with the technical safety standards established by the appropriate agencies.
Booth designs must be submitted 45 (forty-five) days in advance, that is, by August 18, 2025 , to the EVENT PROMOTER. They must include: floor plan, 3D design, descriptive and electrical specifications, height views, and the ART/RRT for approval.
The designs must indicate the exact location of power outlets.
Booths with any type of covering are not permitted, due to hotel regulations.
Booth assembly may only begin after design approval.
All work must be authorized in advance by the PROMOTER. Electrical, IT, and telephone connections, as well as any work on electrical panels, must be performed by the hotel's maintenance team.

Electric energy

  • The contract includes electricity, which will be supplied at 1 (one) AC 220V point at the stand, with a maximum consumption of 4kva;
  • If additional consumption is of interest, the CONTRACTOR will pay the fee of R$ 300.00/kva to the CONTRACTED PARTY at least 30 days before the event.
  • Exhibitors requiring a 110V outlet will need to bring a transformer. The promoter will not provide transformers or stabilizers.
  • All sockets available for electricity use will be three-pin, 20A.

Internet

  • If the exhibitor is interested in securing an internet point for their stand, they must contract this directly with the PROMOTER.

Fire fighting equipment (extinguishers)

  • All stands must have fire extinguishers, which will be provided by the PROMOTER, as per the instructions of the Fire Department.

Safety and Cleaning

  • Security and cleaning services will be available throughout the entire assembly, fair and disassembly period, in the event's common areas.
  • It is each exhibitor's responsibility to provide security and cleanliness for their booth, if desired.
  • To ensure everyone's safety, security and cleaning companies must be hired through the event's official companies.
  • The official companies – hired by the event – ​​specialize in providing event services and have all the documentation required by the relevant authorities.
  • Under no circumstances may exhibitors hire third-party security and cleaning services.
  • Exhibitors should pay attention to the deadlines established for contracting these services. After the deadline, prices will be adjusted.

Medical center

  • The Renaissance Hotel does not have a medical team on call to cover events. Firefighters will be available for specific needs.

Food

  • Any and all food considered in the stand design, whether through distribution, gifts or pantry/catering service, must 

be previously shared with the PROMOTER in order to align with the Renaissance Hotel's F&B policy.

  • Follow the Renaissance Hotel's F&B (Food and Beverage) policy and price list, if you choose to offer food and beverage services at your property;
  • Pay the minimum consumption amount of R$350.00/m², in direct negotiation with the Renaissance Hotel, if you choose to offer food and beverage services in your space;

TECHNICAL SPECIFICATIONS FOR ASSEMBLY AND DISASSEMBLY

PROMOTER's rules regarding the assembly and disassembly of stands:

  • The exhibitor and assemblers must follow the delivery, loading and unloading standards described in this Manual;
  • All assembly will take place on Tuesday, 09/30/2025, between 12:01 AM and 11:59 PM; All disassembly will take place on Friday, 10/03/2025, between 3:01 PM and 11:59 PM;
  • Both assembly and disassembly must follow the order stipulated in the schedule, which will be defined in a meeting close to the event;
  • Assembly teams are prohibited from remaining in other areas of the Hotel, and their movement is limited to specific work areas and/or the space rented for the event;
  • The identification badge must always be visible;
  • Under no circumstances will the assembly of stands directly on the floor or carpet of the rented space be permitted, without appropriate floor protection;
  • In stand assembly areas, the assembler must place a protective lining on the floor, across the entire area to be occupied, including circulation corridors between stands;
  • The use of electrical machines, such as drills, saws, etc., that cause noise, rattles, or vibrations is prohibited. Sanding or painting any type of material within the event premises is also prohibited. Items must arrive at the venue with the painting and final artwork completed;
  • It is not permitted to support, tie, hang or place any type or kind of material, paper or product, on the walls or doors of the halls, foyers or circulation areas, as well as on the ceiling of the halls, without prior authorization from the PROMOTER;
  • Assembly, maintenance, loading and/or unloading of materials at stands will not be permitted during fair opening hours;
  • The exhibitor must respect the entry and exit times for materials, under penalty of a fine of R$100.00 per square meter contracted and per infraction;
  • The exhibitor must respect the area limits of the contracted stand, with the maximum permitted height being 2.20m;
  • The area sold by the PROMOTER corresponds to the TOTAL area of ​​the booth, not its usable area. The portion of the area to be considered for the assembly structure will vary according to the design of the assembly company chosen by the exhibitor;
  • The exhibitor must present the assembly layout and stand plan to the PROMOTER in advance (as negotiated and agreed in the contract), due to the request of the regulatory bodies CONTRU and the FIRE DEPARTMENT, to verify escape routes, emergency exits, hydrants and extinguishers;
  • Any and all adaptations necessary for the assembly of the stands, involving issues of internal works, carpentry, electrical, water, etc., must be communicated 45 days in advance of the start date of the event (until 08/18/2025) and authorized by the PROMOTER;
  • By law, the use of LPG gas is not permitted at the stand or in any other area within the event space;
  • Failure to comply with the rules of this Exhibitor Manual and the established assembly and disassembly times will result in a fine of R$100.00 (one hundred reais) per square meter contracted and per infraction.

ENTRY OF MATERIAL AND PERSONNEL

  • The only entrance for materials, equipment, and assembly personnel will be through the service entrance/receiving docks. Access to the service entrance will be through the reception area located at Alameda Jaú, 1620. Loading or unloading materials and/or equipment in front of other reception areas and/or entrances to the hotel is not permitted.
  • A nominal list of people involved in the assembly work must be delivered to the PROMOTER, within 72 (seventy-two) hours prior to the start of the assembly, that is, by 27/09/2025;
  • A list of materials, equipment, machines, tools, etc. must also be provided;
  • Upon entry, authorized persons must present a valid original identity document at the service reception, at which time they will receive an identification badge authorizing them to enter the Hotel premises, with circulation restricted to the event area;
  • Personnel involved in assembling the stand are required to be permanently uniformed;
  • People wearing flip-flops, tank tops, Bermuda shorts or Bermuda shorts are not allowed to enter;
  • Minors are not allowed to enter any type of work.

PARKING

  • Suppliers, assemblers, delivery personnel and others who park their vehicles in the Hotel parking lot must pay for the service upon departure, according to the current price list; Trucks are prohibited from accessing the Hotel Parking area;
  • Receiving docks are intended exclusively for loading and unloading materials and equipment, and parking of any vehicle in this area is prohibited.

ELEVATOR

  • The freight elevator, which has a maximum capacity of 1,260 kg, must be used to transport materials and equipment from the receiving docks to the HAVANA room floor;
  • The assembler must inform the PROMOTER of the arrival of the materials and/or equipment, so that the hotel staff can monitor the use of the elevator. The freight elevator has the following dimensions: height: 2.20m, width: 2.20m, depth: 1.20m, and door measuring 1.05m x 2.05m.

RIGHTS AND DUTIES OF THE EXHIBITOR

RIGHTS 

  • Exhibitors may offer and include one (1) gift in the bags distributed to attendees during the event. Gifts must be delivered to the PROMOTER by September 1, 2025, at the address: Rua Haddock Lobo, 585 – conj. 6ª – 01414-001 – A/C Evaristo Mesquita, from 1:00 PM to 7:00 PM. However, gifts such as pamphlets, posters, folders, or company brochures (paper in general) will not be accepted. Gifts must be creative objects. Quantities must be agreed upon with the PROMOTER in advance.
  • In accordance with municipal laws 13,474 and 13,477 of December 30, 2002, the PROMOTER is required to pay the single tax to the City of São Paulo. Municipal fees for establishment inspections, advertising, and brochures are already included in the accepted proposal. 
  • Have 1 (one) 220V power consumption point of up to 5Kva at your stand, as well as 1 (one) fire extinguisher, provided by the PROMOTER;

DUTIES

  • The exhibitor and assemblers must follow the delivery, loading and unloading rules described in this Manual;
  • It is the exhibitor's responsibility and duty to provide their own insurance against any risks, especially in relation to their personnel, as well as their stand, goods, products, equipment and materials on display;
  • It is the exhibitor's duty to pay off all investment balances (for stand space or extras, such as electricity contracts, etc.) by the event date; 
  • All participants who perform musical programs (ambient music) must pay COPYRIGHT fees in accordance with Law 9610/98, charged by ECAD – CENTRAL OFFICE FOR COLLECTION AND DISTRIBUTION (Av. Paulista, 171 – 3rd floor, tel. (11) 3287-6722). The PROMOTER is not responsible for any fines due to non-payment of copyright fees;
  • In the case of outsourced labor at the booth, the exhibitor undertakes to hire licensed individuals and/or companies that can demonstrate their legal existence with a contract and permit. It is the exhibitor's duty to hire and invite only individuals over the age of 18 to the fair. Minors will not be permitted entry, even if accompanied by their guardians.
  • It is the exhibitor's duty to ensure that there is no sound in their stand that exceeds 35 decibels;
  • It is the exhibitor's duty, together with its assembler, to arrange for the dismantling of the entire structure and decoration, returning the rented spaces free and in the same state of conservation in which they were found;
  • The exhibitor will be responsible for all damages and losses eventually caused by facts generated or acts carried out by its employees, agents, participants and/or suppliers of products and services contracted by it, and is obliged to compensate the Hotel for any and all expenses arising from such damages and losses, within 7 (seven) days. 

ACCESS CREDENTIALS AND VOUCHERS

  • It will be the exhibitor's responsibility to retrieve all their credentials on the Expocine25 SYMPLA portal, ensuring proof of attendance is received via email, which will entitle them to a badge at the event's accreditation desk;
  • All EXPOCINE25 credentials (except those used for assembly/disassembly) are nominal and cannot be used by third parties;
  • Credentials for assembly and disassembly teams will be provided separately from the event credentials;
  • Each exhibitor will receive EXHIBITOR credentials for the service teams stationed at the booths. The desired number of credentials must be agreed upon with the PROMOTER by September 15, 2025. EXHIBITOR credentials will be the same as STANDARD credentials (access to the fair only);
  • Exhibitors must present an official photo ID at the accreditation desk to collect their badge;
  • Each exhibitor will be entitled to 3 (three) STANDARD credentials per m² contracted, which can be distributed to guests, partners and customers; These credentials must also be redeemed in advance at SYMPLA and collected at the accreditation counter upon presentation of an official document with photo;
  • For any purchase of PREMIUM credentials, which give access to the programming at CINE MARQUISE, the exhibitor will receive a 25% discount on the current batch price.

GENERAL INFORMATION

  • The exhibitor may not transfer, in whole or in part, any right or responsibilities assumed with the PROMOTER, nor sublet or assign any portion or all of the area rented to it, including sharing of logos;
  • The PROMOTER will not be responsible for any damages, breakdowns, losses, theft of products, materials and equipment displayed by the participant or by third parties hired at its stand, during the entire period of the event, that is, assembly, holding of the fair and disassembly;
  • The exhibitor must keep their booth operational throughout the duration of the fair, with trained personnel on staff. No 

works or disassembly will be permitted at the stands before and/or during the fair;

  • It is expressly forbidden to hang or support banners or any other object in the basic assembly, stick logos on the wall and shop windows;
  • It is not permitted to leave bags or personal items scattered around the booth. These must be kept safe by the participant;
  • The display, distribution of gifts and advertising, directly or indirectly, of any products and/or services of companies not participating in the event at the exhibitor's stand is absolutely prohibited;
  • The PROMOTER is not responsible for damages or losses caused to people or products on display, before, during or after the event, including theft, sabotage, civil unrest, deficiencies or interruptions in the supply of electricity, water, public transport, accidents of any kind;
  • The exhibitor must not leave his/her stand unattended and must allocate responsible people to take care of the objects during exhibition hours;
  • Booths, goods, products, and personnel are not covered by insurance before, during, or after the event, nor during dismantling. The booth owner must take care of their own property and belongings;
  • For proper participation and availability of spaces at the event, the exhibitor must be up to date with their payments to the PROMOTER;
  • The EXHIBITOR must keep his/her registration updated with the PROMOTER;
  • It will not be permitted to place banners in the lobby or other social/common areas of the fair venue;
  • By law, SMOKING is PROHIBITED on the premises (event space, lobby, restaurant);
  • It is established that any floor plan or assembly for the event must have prior and express approval from the PROMOTER;
  • The use of running water at the stand will not be permitted, as there is no water or sewage point;
  • The transportation of material for assembly and disassembly will only be permitted using transport carts with pneumatic wheels;
  • The distribution of promotional leaflets or promotional material will not be permitted at the entrance to the fair venue, including sidewalks and public roads;
  • The exhibitor must send to the PROMOTER, up to 30 (thirty) days before the scheduled date of the event (until 01/09/2025), the list of companies that will decorate the stands, containing the name of the company, the service to be provided and the vehicle's license plate;
  • It is expressly prohibited to paint, apply glue, drill or dig into the floors and walls of the fair venue, or any activity that compromises or damages its original structure;
  • Sawing, gluing, or any activity that produces fine dust or odors that pose a risk to human health and the operation of air conditioning pipes is also strictly prohibited. Booths must arrive ready for assembly/fitting, not built on site;
  • The PROMOTER may suspend the assembly and close any stand that does not meet the specifications of this manual and/or that puts the safety and its facilities at risk;
  • Entry to the fair area is prohibited after 6:00 p.m. Employees and/or visitors may remain at the booths for a maximum of 30 minutes after the event closes;
  • If any of the items mentioned above as GENERAL INFORMATION are not complied with, the PROMOTER reserves the right to apply a fine of R$100.00 (one hundred reais) for each square meter contracted by the EXHIBITOR, for each infraction identified.

FOOD AND DRINKS

  • Third parties are not permitted to bring food and drinks into the Hotel premises to be served;
  • The service of food and drinks at the stands is not permitted without prior authorization from the Hotel Events Management;
  • Tastings and preparation demonstrations are not permitted without prior authorization from the Hotel Events Management;
  • Sponsors will not be permitted to provide complimentary food and beverages to guests. Food and beverages will also not be brought into or delivered to the hotel without prior authorization from the hotel's Events Management Department.
  • Follow the Renaissance Hotel's F&B (Food and Beverage) policy and price list, if you choose to offer food and beverage services at your property;

OUTPUT OF GOODS

The exit of materials, goods, equipment, products, etc., will be authorized through the receiving docks on the G1 floor. No materials will be allowed to leave through any other exit door without prior authorization from the Hotel Security Management.

OMISSIONS AND ADDITIONAL INSTRUCTIONS

  • The PROMOTER reserves the right to arbitrate on cases omitted in this manual, as well as to establish new rules and/or additional instructions that are necessary for the smooth running of the event;
  • All EXHIBITORS declare that they are aware of the conditions of this manual and undertake to follow it fully, during the event, at any time or situation that may result from their participation;

ANNEX 1

LOADING AND UNLOADING – SCHEDULES

Dear Exhibitor,

Considering that on July 10, 2005, MUNICIPAL DECREE Nº 45821 came into force, regulated by INTERSECRETARIAL ORDINANCE SMT/SMCS Nº 002/2005, which established Loading and Unloading schedules in the city of São Paulo, we hereby inform you that the times for trucks to enter the docks located at Alameda Jaú, nº 1620 (http://tinyurl.com/yx5ub2sr ) are:

Monday to Friday – from 10:00 pm to 6:00 am;

On Saturdays – from 2:00 pm to midnight;

Sunday and Holidays – from 7:00 am to 10:00 pm

Trucks of the VUC type – Urban Cargo Vehicle – 2.20m wide, 5.50m long and capacity for up to 1.5 tons and the VLC type – Light Cargo Vehicle – 2.20m wide, 6.30m long and capacity for up to 4.5 tons, as well as pickup trucks, utility vehicles, cars and motorcycles not subject to this regulation, that is, they may carry out loading and unloading operations throughout the day.

We advise that we are not responsible for the presence of trucks near the Hotel, since loading and unloading at the DOCKS will only be permitted according to the times above, and to avoid property security problems, the reception of trucks is subject to prior scheduling with the event organizer.

BASIC ASSEMBLY RULES

Dear Exhibitors,

Below are some basic rules that must be followed during the assembly, execution and disassembly of events at the Renaissance Hotel:

  • The loading and unloading area is located at Alameda Jaú, nº 1620 – Docas (http://tinyurl . com/yx5ub2sr) . All materials must be unloaded at this location;
  • The freight elevator has the following measurements:
    • Height of 2.20m
    • Width of 2.20m
    • Depth of 1.20m
    • 1.05m x 2.05m door
    • Maximum load of 1260 kg
  • The use of raised flooring is prohibited in any area of ​​the hotel, except for special projects submitted at least 45 days in advance of the event date, so that the hotel can review and approve the project. After approval of the project submitted to the hotel, we request that carpet be placed on the floor where the raised floor will be installed;
  • Any and all types of assembly must have lining protecting the existing flooring at the site;
  • Booths must maintain a minimum distance of 15 cm from the walls;
  • Under no circumstances will marking, drilling or painting over existing floors be permitted;
  • Posters, backlights, banners, banners and stands must have their own structure, and tying or supporting them to structures, walls, linings, ceilings or sprinkler networks in the event areas is prohibited;
  • The Renaissance Hotel does not provide ladders for event setups. Event organizers are required to bring ladders and all necessary equipment for booth assembly.
  • Security, Cleaning and Assembly Service providers are prohibited from installing themselves in technical areas, such as technical service corridors, emergency stairs, etc., to be used as a material storage area;
  • The hotel's power supply is 380V three-phase / 220V single-phase. Therefore, the company responsible for the event's electrical system must provide a Steck male socket with reference no. S-4276, 4P, 380V, 329, no. S-4576, 4P, 380V, 63A, no. S-5276, 5P, 380V, 32A or no. S-5576, 5P, 380V, 63A to distribute power to the booths or equipment.
  • We recommend the use of stabilizers for equipment sensitive to voltage variations;
  • Any and all electrical installations must be carried out by a specialized company hired by the PROMOTER, which will be executing all the infrastructure necessary to hold the event;
  • The use of parallel cables for installing power points is prohibited. Only PP cables (minimum 4mm²) are permitted.
  • The Hotel's operations department is not responsible for accidents or incidents occurring due to the use of parallel wires;
  • It is prohibited to close emergency exits, access to hydrants and extinguishers with assembly materials, stands or any type of objects during assembly, event holding and disassembly;
  • It is prohibited to run cables across the floor in front of emergency exits; if necessary, they must go around the door;
  • The Anti-Smoking Law, in effect since August 7, 2009, prohibits the consumption of cigarettes and other smoking products in enclosed public areas throughout the state of São Paulo. Anyone seen smoking in any area of ​​the hotel, including the loading and unloading area, will be asked to leave the establishment.
  • We once again request that assemblers pay attention to the Municipal Loading and Unloading Law No. 45821, in force since June 1, 2005. We request that exhibitors pass on this information to assemblers regarding its merit and importance;
  • The use of LPG gas is not permitted on the Hotel premises;
  • Wireless internet service must be requested from the PROMOTER at least 20 days before the event date. Requests must be made by email to: reri@grupospola.com.br ;
  • Expocine will not provide complimentary parking during the assembly or during the event;
  • The PROMOTER will deliver the space to the exhibitor for assembly in perfect condition. Inspections will be conducted after the event, and any damage to the space will be the responsibility of the exhibitor who occupied that area.

We ask once again that you pay attention to these details, especially regarding heritage conservation throughout the perimeter.
